Every operation starts with Excel. There is nothing wrong with that.
Excel is fast, flexible, and everyone knows it. It is the lowest-friction way to track a task. The trouble starts as the work grows.
Excel quietly standing in for a system
First there is a single sheet. Then a second tab is added. Before long there are monthly files, copies named "final_version_FINAL_v3," cells with broken formulas, a row someone deleted by mistake.
No one ever decides "let's make Excel the operations system." Excel slides into that role without anyone noticing.
And at some point the company's most critical data (accounts, inventory, production tracking, checks and notes) starts living in an uncontrolled file.
The hidden cost builds up in three places
1. Manual labor. Data is entered by hand, copied by hand, checked by hand. These hours don't appear on the invoice, but they're spent every week.
2. Human error. A wrong cell, a shifted formula, a missing row. An Excel error is usually noticed months later, after a wrong decision.
3. Single point of dependency. Only one person understands the file. When that person takes leave, the operation stops. This is the most expensive cost, because it's invisible.
Not "Excel can't," but "Excel shouldn't"
The aim here isn't to disparage Excel. Excel is an excellent calculation tool. For analysis, modeling, and ad-hoc calculation, it's irreplaceable.
The distinction is this:
- Excel is a good tool: for thinking, calculating, experimenting.
- Excel is a bad system: for storing, sharing, automating, scaling.
A spreadsheet and an operations system are different things. One supports one-off thinking; the other keeps a continuously flowing process running.
When does becoming a system become mandatory?
The signs are clear:
- The same data sits in multiple files, in versions that don't match.
- No one can touch the sheet while one person is on leave.
- The question "which version is current?" is asked often.
- Preparing a report takes half a day.
- An error goes unnoticed for weeks.
At this point, Excel is no longer a solution, it's a risk.
What does a system do?
A well-designed system solves the three things Excel can't: it keeps data in a single, reliable source. It automates manual entry. It authorizes access, binding it to the process rather than to a person.
Leaving Excel isn't losing data. On the contrary, it's bringing it under control for the first time.
